DEPOT MANAGER

We are excited to advertise for a Tracking Clerk in the Tracking Department reporting to the Tracking Supervisor and based in our DCP Cape Town Depot. We require the services of a suitable candidate that meets the below listed requirements.
Overview of the Role:
The Depot Manager is responsible for ensuring the efficient and cost-effective management of the DCP Cape Town container storage depot and transport operations.
The Depot Manager will oversee the management of all the activities of both the transport and container depot which includes receiving, assessing/estimating, repairs, storage, and preparation for dispatch of all containers handled by the company.
The Depot Manager is responsible for budgeting, financial management and controls, customer service, facility and equipment operation. In addition, the Container Yard Depot Manager will oversee maintenance and repair processes, record keeping, Health and Safety protocol and compliance and optimize staff utilization.
What the Depot Manager will do: (Including, but not limited)
- Oversee and manage the functioning of the respective departments under his leadership:
- Yard Operations;
- Reefer Department;
- Maintenance and Repair;
- Transport;
- Workshop;
- Staff Training and Development;
- Stores;
- Health and Safety;
- Financial Controls and expenditure management;
- Customer relationships and other commercial aspects.
- Report business results monthly, which will include all KPIs under his management structure.
- Ensure compliance to legal and industry guidelines and requirements.
- Optimize business results by ensuring best practices within the Container Storage Industry.
- Ensure that the depot retains compliance within the shipping industry’s regulations and safe protocols.
- Liaise with shipping lines / agents to understand their requirements and work closely with them to meet those requirements.
- Continually view strategies to ensure that the facilities grows / develops.
- Continuously explore and investigate new revenue opportunities.
- Liaise with vendors, suppliers, external consultants to ensure that divergent deliverables are met as required.
What you will need to have:
Required Skills and Competencies:
- Proven knowledge of Occupational Safety and Health Administration (OSHA) safety rules strongly recommended;
- Proficiency with software applications / Computer literacy;
- Previous management experience in the container storage industry;
- Strong interpersonal, organizational and analytical skills;
- Ability to multitask, meet deadlines, and work in a fast-paced environment;
- Demonstrated ability to interact effectively with customers and staff at all organizational levels.
- Experience in refrigerated containers.
- Planning and problem-solving skills.
Education and Experience:
- Tertiary Qualification in Business Administration, Logistics, Supply Chain Management or a related field preferred (relevant experience can be substituted for the required education on the basis of 3 – 5 years’ relevant and proven experience);
- Relevant work experience within Logistics, Warehouse Management, or Dispatch required;
- Intermediate to advanced skills in Excel, MS Word, and Industry related software (logistics).
- 3 – 5 years of experience in Financial management practices and principles at Managerial level which includes interpretation and analysis of financial reports and proven experience running profit and loss divisions/companies.
- Proven commercial experience.

KEY PERFORMANCES
Ingate:
- Check transporter documents before capturing:
- Check if the container number reflects correctly on transporter POD.
- Make sure the Container Reference Number reflects on the POD of the transporter.
- Capture all relevant data on the system (TSD)
- Ensure to collect the relevant and correct information from the transporters.
- Stamp and file documents once done checking.
- Filing to be kept updated at all times.
- Assist the Yard Clerks with relevant information regarding containers when requested.
- Attend to daily duties, such as answering the phone, following up on emails, keeping the office neat and tidy.
Outgate:
- Check if the booking reference is captured before booking out a container.
- Do not release any “on hold” containers, check with Supervisor if the container can be released.
- Provide the transporter with the correct container seal.
- Provide a seal count at the beginning of every week.
- Always check transporter documents (Container Terminal Order/Purchase order) if its corresponding with the booking sent by the shipping line.
Requirements:
- At least 3 years’ experience in the same or similar role;

Responsibilities:
To oversee the organization’s accounting systems, maintaining accurate records, financial documentation as well oversee the financial reporting of the department.
- Assist with Financial Documentation, information and communication flow between Depot and Head Office.
- Reconciliation of Monthly Transport Matrix to accounting System/P&L. (Revenue & C.O.S.)

Documents of transporters are aligned with company policies and documentation is presented to Client or Sub-contractors in accordance with agreed terms and conditions of the company.
KEY PERFORMANCE AREAS:
- Transport Controllers can only work with authorized or screened transporters; thus, meanings Administrators are to screen and request documents from Sub-contractors as/when required.
- We as DCP require the following documents before any Sub-contractor can be listed on our panel:
Screening Documents:
- GIT Documents (Goods in Transit)
- Company Portfolio/certified copy of the Company Letterhead from SAPS.
- Certified copy of Truck Registration Certificate if Truck is Financed, proof of sale to be provided with registration details.
- Certified ID copies of each driver in your company operating for DCP
- Certified copy of Port Access card for each driver in your company operating for DCP.
GIT (Goods in Transit):
- GITs are needed to cover us in the event of theft or accident insurance, a sub-contractor that is only contractor to do empty units must have GIT of One million Rand, sub- contractors doing movements of full units must have GIT of Two Million Rand
- GITs must be checked monthly.
Company Portfolio:
Basic requirements leading to Business Addresses that can be produced when needed by Company or investigating party.
Registration Certificates:
Allows accountability in claims and fraudulent activities, also to pass liability to Transporters if needed.
Port Access Cards:
- All drivers wanting access in Transport facilities are to apply with Transnet themselves, this is mandatory as Transnet allows us to check whether ID access cards have been obtained legally, should cards be obtained illegally contractors are not to be contracted as this puts the company at risk.
- Once transporters have met and passed the screening processing, this informing is to be passed to the transport controllers who will assign task to them.
- Revenue streams and trade secrets are not to be shared externally or disclosed to any person that is not operating within DCP transport sector.
PERSONAL SPECIFICATION:

JOB SPECIFICATION
Responsibilities:
To execute, direct, control and co-ordinate all Reefer and Technical operations and requirements within the Company’s Operations.
Key Performances:
- Sound technical experience on the following brands:
- Carrier
- Daiken
- Starcool
- ThermoKing
- Checking Reefer/Dry stock to ensure client bookings are covered with available equipment.
- Make Bookings with DAFF and PPECB
- Monitor different full Reefer protocols.
- Download full Reefers and check that ACT is set correctly and submit to PPECB.
- Liaise with Client on requirements, problems, and updates/forecasts etc.
- Oversee M&R staff with regards to estimates and rejections ensuring all repairs are dealt with accordingly.
- Prepare depot tariff for contract renewals.
- Drive Reefer/Dry container productivity.
- Co-ordinate all Reefer/Dry repairs and estimates as required.
Monitor stock. - Ordering spares.
- Monitoring probes stocks.
- Structure a range of material tariffs and rates.
- Ensure FIFO is implemented.
- Monitor and coordinate repairs.
- Monitor Dry container surveys.
- Ensure authorized units are repaired within the respective timeframe.
